HOSTED BUYER PROGRAM

Who is a Hosted Buyer?

If you are a decision maker in your organization, responsible for shaping procurement strategies and guiding choices within your organization or control the organization budget or have a significant influence over purchasing within your organization, you may qualify for the “CBIS 2025 Hosted Buyer Program”.

The Organizers of CBIS 2025 are pleased to introduce their Hosted Buyer Program.  The Program offers two options i.e.

(1) Fully Hosted Buyer Program and (2) Semi- Hosted Buyer Program.

What is Fully Hosted Buyer Program?

A premium, all-inclusive program where Organizers provide comprehensive support, including Air Travel reimbursement as per the limits specified, accommodation, on-ground transfers between the hotel and Exhibition venue, and exclusive priority access to business meetings - all with no entry fees to the Exhibition subject to the Buyer agreeing to fulfill the minimum number of meetings at the Exhibition. Designed for a seamless and highly productive experience, this program allows Buyers to focus entirely on meaningful engagements with exhibitors and industry leaders. With limited slots available, participation is subject to evaluation and approval at Organiser's discretion on a first-come, first-served basis.

 

What is Semi-Hosted Buyer Program?

A structured initiative offering Buyer complimentary accommodation, convenient on-ground transfers between the hotel and Exhibition venue, and priority access to pre-scheduled meetings - all with no entry fees to the Exhibition subject to the Buyer agreeing to fulfill the minimum number of meetings at the Exhibition. While Buyers are responsible for their own Air travel expenses, they still benefit from an organised and efficient networking experience. With limited slots available, participation is subject to evaluation and approval at Organiser's discretion on a first-come, first-served basis.

QUALIFYING CRITERIA:

  1. Organization Chairman/ Directors/ Proprietors.

  2. Chief Financial Officers of Organizations.

  3. Procurements Head of Organizations

  4. Influential members of  Organization

  5. Buyer to commit attendance of the entire Exhibition on all Exhibition Dates

  6. Buyer to book and attend a minimum of Seven (07) meetings per day.

  7. Buyer to provide accurate and verifiable information during the application process.

  8. Buyer to adhere to all CBIS 2025 HOSTED BUYER PROGRAM terms and conditions.

  9. Buyer to fill and submit the Application and  details to the Organizer,  who shall review and approve the application.

SELECTION PROCESS

Step 1: Express Your Interest

Application Submission:

  • Complete the Interest Form: Begin by filling out the form available on this page, which is an expression of your interest to be considered by the Organizer for the Full Hosted Buyer Program or the Semi Hosted Buyer Program. Ensure that all information provided is accurate and comprehensive, as this will be crucial for the evaluation process.

Post-Submission:

  • Acknowledgment: After submitting the form, you will receive an email acknowledgment confirming receipt of your application.

  • Initial Screening: the Organizers will conduct a preliminary review to ensure that your application meets the basic eligibility criteria.

Step 2: Evaluation Procedure

Comprehensive Assessment:

  • Company Profile Review: Organizers assess your organization's background, including its size, industry sector, and market presence.

  • Purchasing Activity Analysis: Organizers evaluate your Organizations purchasing history and volume to determine your Organizations potential impact within the Hosted Buyer Program.

  • Market Interest: Organizers examine Your expressed interest in the Indian and global markets to align with the Hosted Buyer Program objectives..

Additional Requirements:

  • Supporting Documentation: The Organizer’s may in its discretion request to provide additional documents, such as financial reports or references, to substantiate your application.

Step 3: Confirmation of Participation

Selection Outcome:

  • Email Notification: Upon completion of the evaluation process, which should be completed no later than 15 (fifteen) days of receipt of your application, the Organizers will intimate the applicant via email the outcome of the application submitted.

  • The Application can be accepted under the Hosted Buyer Program as either a Fully Hosted Buyer or a Semi Hosted Buyer; or the Application can be rejected for failing to fulfil any criteria or the objective of the Hosted Buyer Program.

  • Participation Category: If your application is accepted, your participation will be categorized as either:

    • Fully Hosted Buyer

    • Semi-Hosted Buyer

Finalization Process:

  • Confirmation Letter: All selected Buyers will receive a Letter of Acceptance template via email, which must be signed and returned to confirm their participation in the assigned category.

  • Submission of Details: Selected Buyers must provide the required details, including a photocopy of ther passport, visa, travel dates, airline ticket, and any other necessary documentation.

  • Response Deadline: All required documents and confirmations, along with the signed confirmation letter with company stamp affixed, must be submitted via return email to the Organizers within 10 (ten) days of receipt of the Email Notification from the Organizers.

  • Non-Response Clause: Failure to respond within 10 (ten) days results in automatic cancellation of the Buyers confirmation and the Organizers reserves the right to appoint any other substitute Buyer under the Hosted Buyer Program.

Buyer Commitment under the Hosted Buyer Program:

  1. Attendance at the Exhibition: A Hosted Buyer must attend ALL 3 (three) days of the Exhibition.

  2. Meeting Requirements: A Hosted Buyer must commit to and attend a minimum of Seven (07) pre-scheduled appointments per day.

  3. Punctuality: Buyer Must arrive and register onsite  the Exhibition venue  by 10:00 AM on Day 1 of the CBIS 2025 Exhibition.

  4. Photo and Logo Submission: Hosted Buyers are required to submit their professional photograph and company logo for event-related materials; and agree to repost the creative on their respective social media profile/accounts.

Reimbursement on the last day of the Exhibition of Air Ticket Fare as per the below limits: 

(Only applicable to a Fully Hosted Buyer) 

  • Europe, Australia, Japan, Korea, Africa, Russia, USA & UK: USD 700 or actual Air Ticket Fare, whichever is lesser.

  • GCC, Asia, Iran, Iraq, Jordan, Yemen, Syria and Egypt: USD 350 or actual Air Ticket Fare, whichever is lesser.

  • North & South America: USD 900 or actual Air Ticket Fare, whichever is lesser.

For the sake of clarity, if the actual Air Fare is in excess of the limits set above, then the Organizer shall be liable to reimburse only, up to the limits set out above and any excess fare over and above the limits set out above, shall be to the account of the Buyer only.

EXCLUSIONS UNDER THE CBIS 2025 HOSTED BUYER PROGRAM:

  1. Visa and Travel Documents - Visa fees and associated application costs: Hosted Buyers are responsible for ensuring possession of valid passports, visas, or travel permits. The Organizer will only provide the invitation letter.  The Organizer is not responsible in the event of rejection of the Visa by the Authorities.

  2. Personal Expenses: Personal expenses incurred by the Buyer towards upgrades or incidental expenses at the hotel or duration of the stay.

  3. Meals: Meals outside official program schedules.

  4. Transportation: Private transfers & Taxi fares.

  5. Travel Insurance:  Buyer to procure and maintain adequate travel insurance

  6. Additional Stay: Accommodation or travel beyond CBIS 2025 official dates

CBIS 2025 HOSTED BUYER PROGRAM BUYER CANCELLATION & NO - SHOW POLICY

  1. Cancellation Notice: To avoid any cancellation charges, buyers are required to submit cancellation requests in writing at least two (2) months i.e. 60 Days prior to the scheduled start date of the Exhibition. Failure to do so may result in financial penalties, as outlined below.

  2. Cancellation Charges: In the event of cancellation, the following charges will apply based on the timing of the notice provided:

    • Between 30 and 59 days prior to the scheduled Exhibition start date: The Buyer will be invoiced for the actual costs incurred by CBIS on Hotel accommodation & on-ground transfer bookings.

    • Less than 30 days prior to the scheduled Exhibition start date: The Buyer will be invoiced for the full cost of the accommodation, on-ground transfers bookings and all other costs incurred by CBIS.

  3. No-Show or Non-Fulfilment of Buyer Commitment: After confirmation, if a Buyer fails to attend the Exhibition without providing prior written notice as per above timelines, or the Buyers fails to fulfill the Buyer Commitment as set out above, then the Buyer will be invoiced for the full program expenses incurred by CBIS, including accommodation, on-ground transfer bookings and event-related costs. If the buyer fails to reimburse the No Show  charges,  the Organizers reserve the right to adopt appropriate legal proceedings to recover the No Show Charges and the Organisation may be excluded from future CBIS Hosted Buyer Programs & Shows.

CBIS 2025 HOSTED BUYER PROGRAM  - TERMS AND CONDITIONS:

  1. Participation of a Buyer in the CBIS 2025 HOSTED BUYER PROGRAM  is subject to the sole discretion of the Organizer.

  2. Sharing, transferring, or misusing Hosted Buyer Program badges is strictly prohibited. Hosted Buyer badges must be worn at all times during the Exhibition.

  3. Buyer are not permitted to schedule external meetings or attend other events during official CBIS Exhibition hours during the Exhibition dates, without prior written approval. Violations may result in penalties, as per discretion of the Organizer

  4. In case of participation of several Hosted Buyers from the same Organisation, the Organizer shall only reimburse the Air travel Expenses of one representative

  5. Participation in the Exhibition as a Hosted Buyer is non-transferable. Should you be forced to cancel your participation in the Exhibition, another person from the same Organisation may take your place, subject to fulfillment of the Qualifying Criteria and approval from the Organizers. The Organizers will make the final decision regarding the person designated as a replacement, in their sole discretion.

  6. A Hosted Buyer grant his/her irrevocable consent to the Organizers, to process the Personal Information of the Buyer in compliance with Data Privacy Laws. The personal information that you provide to the Organizers will be held by us on a database and, where we have appropriate authorisation/justification (which may include, without limitation, express/implied consent or legitimate interests), may be shared with selected third parties internationally for promotional and other purposes.  Your personal information may also be shared with government entities and regulatory authorities as required by law.  The Organisers, exhibitors and sponsors may use lead capture applications or barcode scanner devices.  If you choose to allow your badge (whether physical or digital) to be scanned by third parties at the Exhibition, we may pass your personal information to such third parties.  Further, there may be certain areas of the Exhibition at which your attendance is conditional on your personal information being provided to third parties that have sponsored or are managing such areas.  The use that any third parties make of your personal information is outside of the Organizers control and, to the extent permitted by applicable law, we do not accept any liability in this regard.  For more information about how we may use the personal information you provide to us please see our Privacy Policy.

  7. You consent to filming, sound recording video bytes and photography at the Exhibition, which may include, without limitation, filming, sound recording and photography featuring your image (the “Content”). You acknowledge and agree that the Organizers is the sole and exclusive owner of all rights in the Content and hereby waive any and all: (a) rights in and to such Content, and (b) claims that you may have relating to or arising from the Content and/or its use.  Without limitation, the Organizers shall be permitted to use the Content anywhere in the World across all online and offline media including but not limited to social media platforms, websites, print, promotional emails etc. for promotional and other purposes, without any payment or compensation.

  8. Hosted Buyer Exhibition badges are personal, non-transferable, and must be used strictly for official CERAMIC & BATH INDUSTRY SHOW 2025 activities.

  9. The Organizers may postpone, reduce or extend the duration of the Exhibition as a result of special circumstances or force majeure conditions. Such circumstances will not entitle the Hosted Buyer to cancel its participation or to demand compensation for loss or harm.

  10.  You expressly assume all risks associated with, resulting from or arising in connection with your participation in and/or attendance at the Exhibition.  The Organizers does not make any warranty as to the Exhibition in general, including, without limitation, in relation to: (a) the presence, absence or location of any exhibitor, sponsor or attendee, (b) the number of exhibitors, sponsors or attendees, and/or (c) the benefit or outcome (commercial or otherwise) that you may achieve as a result of attending the Exhibition.  All indemnities, warranties, representations, terms and conditions (whether express or implied) except as set out herein and/or as may be otherwise expressly advised as part of the Exhibition registration process are excluded.  The Organizers exclude all liability for any loss, injury, disease or damage whatsoever that you may suffer in connection with or arising from the Exhibition whether direct, indirect, consequential, special, incidental or punitive loss, injury or damage (including, without limitation, injury or disease to persons, property damage, theft, loss of profits, loss of business, loss of opportunity, loss of goodwill, loss or corruption of data or any other type of economic loss, injury or damage) or otherwise.  For the avoidance of doubt, the Organizers shall not incur any liability whatsoever for any products displayed or sold by any exhibitor or sponsor at the Exhibition.  The limitations and exclusions in this paragraph only apply to the extent permitted by applicable law.

  11. The rights and remedies of the Organizers are cumulative and are not exclusive of any rights and remedies provided by law and may be waived only in writing and specifically.  Any delay or failure to exercise any right or remedy is not a waiver of the same.

  12. The Organizers reserves the right to amend these terms and conditions (without notice) from time to time and you will be subject to the terms and conditions in force at the time that the Exhibition is staged.

  13. The Organizers reserves the right to amend or cancel the terms of the CBIS 2025 HOSTED BUYER PROGRAM   

  14. Every hosted Buyer shall be liable to take all necessary precautions of personal belongings at the Hotel and Exhibition and the Organizers shall not be liable for any theft, damage, personal injuries, or losses sustained during the Exhibition.

  15. Hosted Buyer to obtain adequate travel insurance coverage, including baggage, medical coverage, and cancellation protection.

  16. A Hosted Buyers must comply with all local laws and regulations during their participation in the CBIS 2025 HOSTED BUYER PROGRAM.

  17. Any disputes or claims related to the Hosted Buyer Program will be governed by laws of India, with the courts in Mumbai, India having exclusive jurisdiction.
